Refund Policy

Overview

Dogwood Way Business Advisory provides professional operational advisory services to family-owned companies. This policy explains refund eligibility, cancellation terms, and how deposits are handled.

Engagement deposits

A 40% deposit is required to confirm any advisory engagement. The deposit secures your place in our schedule and covers initial scoping work.

Full refund before work begins

If you cancel in writing more than 14 days before the scheduled kickoff date, and we have not yet commenced fieldwork or staff interviews, the deposit is fully refunded within 14 business days to the original payment method.

Partial refund after kickoff

Once kickoff has occurred or fieldwork has begun, the deposit becomes non-refundable. If you cancel after work has started:

• You are invoiced for work completed to date, calculated proportionally against the total engagement fee
• Any prepaid amount exceeding completed work is refunded within 14 business days
• Deliverables completed before cancellation remain yours if payment for that portion is settled

Midpoint payments

The 40% midpoint payment is due as specified in your engagement letter. If you cancel after the midpoint payment but before final delivery, you receive all work completed to that point. No refund applies to the midpoint payment unless we have failed to deliver scoped work for that phase.

Final payment

The remaining 20% is due on delivery of final materials. If you dispute deliverables, notify us within 10 business days of receipt. We will review and, where appropriate, revise at no additional charge. Refunds on the final payment apply only if we cannot deliver the scoped engagement.

Non-refundable items

• Travel expenses already incurred (flights, accommodation) if cancellation occurs after bookings are made
• Third-party costs passed through at cost with your prior approval
• Deposits for engagements where kickoff or fieldwork has commenced

Rescheduling

You may reschedule kickoff once without penalty if we receive at least 10 business days’ notice and we can accommodate the new date within 60 days. A second reschedule may incur a $400 administration fee.

No-shows

Missed discovery calls without 24 hours’ notice may be declined for rebooking during peak periods. Paid engagement sessions missed without notice are billed as delivered.

Work already started

If we have conducted on-site visits, staff interviews, or delivered draft materials, those activities are considered billable work under the partial refund rules above.

Purchased materials

We do not sell physical products. Any printed reports or bound documents are included in engagement fees and are not separately refundable.

Refund method

Approved refunds are processed via bank transfer to the account used for payment, within 14 business days of approval.

How to request a refund or cancellation

Email info@system-dogwoodway.click with your name, company, engagement reference, and reason for the request. We acknowledge within two business days and provide a written decision within 10 business days.

Exceptions

In cases of serious illness or bereavement affecting the principal owner, we will work with you on a fair arrangement that may include extended rescheduling or partial refund beyond standard terms. Contact us to discuss.
